Director of Finance
Status: Full-Time
Location: New York, NY

Position Summary
The Director of Finance manages budgeting, accounting, and financial activities for the Organization and for the Charitable Giving Fund that it operates. S/he coordinates investment management activities on behalf of the organization and its Charitable Giving Fund. S/he is responsible for communicating financial and operational results as well as recommendations for improvement to the CEO, senior management team and the Board in a timely and ongoing basis. The Director of Finance serves as a member of the Senior Management Team and will be involved in strategic planning and organizational development initiatives.

Responsibilities

  • Manage budgeting, accounting, and finance activities for the organization and its Charitable Giving Fund;
  • Coordinate investment management, including policy development and implementation, with outside consultants;
  • Support and staff the Audit and Finance/Investment Committees of the Board of Directors;
  • Provide accurate, timely preparation and dissemination of monthly financial statements, regular monthly closings, quarterly forecasts and annual audited financial statements and budgets;
  • Oversee the annual audits for the organization (including A-133 audit) and various projects of the organization as required;
  • Analyze financial results to gain understanding of the organization’s financial condition and performance and communicate the results to senior management;
  • Prepare regular departmental and project financial reports that enable managers to effectively manage their activities; work with managers to assure understanding of the implications of these reports and what actions should subsequently result;
  • Manage and oversee all disbursements, ensuring the accurate and timely processing of grants and accounts payable, cash management, payroll processing, corporate and payroll taxes;
  • Manage, monitor and report on all components of accounts receivable activities including pledges, billings and cash receipts;
  • Closely manage and monitor cash flow, and oversee short and long-term investments for adherence to Board-approved investment policy;
  • Establish and maintain internal control system to ensure the integrity of data, and ensure accurate record keeping;
  • Collaborate with Operations and Grant Administration to ensure the effective use of data, software and other technology, as well as the development of the Charitable Giving Fund and its services;
  • Communicate with colleagues throughout the organization, as well as with clients and their advisors, as needed, with regard to financial and investment issues related to the Charitable Gift Fund and other RPA services;
  • Assure compliance with all applicable tax and government compliance provisions;
  • Maintain accounting policies, procedures and practices manual;
  • Supervise, develop and lead accounting team staff with a hands-on approach and attention to detail;
  • Mentor and educate staff on, and serve as an internal resource for, non-for-profit accounting policies and techniques.

Job Requirements

  • Minimum seven years’ accounting and managerial experience; including staff supervision and development;
  • Demonstrated experience developing and utilizing financial and operating metrics and reports to guide organizational performance;
  • Superior knowledge of not-for-profit accounting practices and regulations and financial reporting;
  • Experience with both external and internal audit practices desirable;
  • Strong experience with general ledger, accounts payable, accounts receivable, payroll, income tax, and banking procedures in a nonprofit setting;
  • Excellent communication skills, written and oral, with a broad range of constituents;
  • Working knowledge of Blackbaud’s Financial Edge and Raisers Edge preferred.

Education
Bachelor’s degree in accounting or business administration, and at least seven years of direct experience in financial management; MBA preferred; CPA certification required.

Administrative Assistant - San Francisco
Status: Full-Time
Location: San Francisco, CA

Position Summary
Based in San Francisco, the Administrative Assistant reports to the Director of the San Francisco office, working closely with the West Coast, LA-based team as well as colleagues in the New York office. The assistant will have the responsibility of supporting the Director and other West Coast team members; performing administrative duties related to philanthropic services for clients; processing and managing approved grants for payment; maintaining records and grant files; overseeing invoicing; conducting research, and assisting in communications with clients, other related philanthropic institutions, foundations and nonprofit organizations.

Responsibilities

  • Coordinate office operations including managing office supplies, sorting and distributing mail, and screening and directing incoming calls. Serve as liaison for information technology support, building management, and key vendors.
  • Process and track office related invoices and expense reports.
  • Coordinate the grantmaking process for clients, including preparing and tracking correspondence, proposals, grant documents, agreements and payments.
  • Create customized grant reports using GrantedGE.
  • Maintain required records for grantmaking programs and grantees including updated information on grantee organizations and verification of their nonprofit status.
  • Organize and maintain files for clients and proposal and assist in keeping central office files current.
  • Draft, edit, and produce documents to generate presentations, analysis, reports and correspondence for signature.
  • Assist with preparation of various major events, meetings and conference exhibits.
  • Assist in the development and production of philanthropic reports for clients.
  • Assist in research and data gathering as needed.
  • Assist other staff members on an ad hoc basis during peak seasons and perform other duties as required.

Position Qualifications
Education
BA or equivalent work experience.

Experience
2-4 years minimum of combined administrative and clerical experience, preferably in a philanthropic setting.

Skills/Knowledge
Attention to detail and accuracy in executing transactions is vital. Must have excellent interpersonal, communication, and organizational skills. Needs to be a self-starter and strong multi-tasker with a collaborative work style. Requires strong grammar, writing, researching, proofreading, and editing ability. Proficiency in Microsoft Office required. Experience with Raisers Edge and GrantedGE preferred. Familiarity with and commitment to the nonprofit and philanthropic sectors a plus.

Travel Requirement
Willingness and availability for occasional travel to Los Angeles and New York.

Communications Associate
Status: Full-Time
Location: New York, NY

Position Summary
The Communications Associate provides support to the staff of the Strategic Initiatives Team, and reports to the Strategic Initiatives Manager. The Associate will be responsible for projects related to RPA’s external communications (including publications, events and the website), business development and client relations. This is an excellent opportunity for a detail-oriented individual looking to expand their communications and business development skills and experience within the philanthropic sector.

Responsibilities

  • Support staff in project-based work related to business development and client relations, including helping to create presentations, proposals, analysis, and reports;
  • Assist with logistics and preparation of major events, meetings and conference exhibits;
  • Provide support for RPA publications, including annual reports, newsletters, brochures, books and large communications campaigns.
  • Manage content and copy changes for the RPA website;
  • Assist in managing a contact relationship database, including data entry and report generation.

Position Qualifications
Education
Bachelor’s degree in Marketing or Communications preferred.

Experience
3+ years of work related experience.

Skills/Knowledge
A successful applicant must have excellent interpersonal, communication, and organizational skills and must work well as a member of a team. The position requires strong grammar, writing, proofreading, and editing skills and the ability to effectively coordinate multiple projects concurrently. Attention to detail and accuracy in executing transactions is vital. Proficiency in Microsoft Office is required. Experience with web content management a plus. Familiarity with Raiser’s Edge or similar application strongly preferred. Familiarity with and commitment to the nonprofit and philanthropic sectors also a plus.

Travel and Work Schedule Requirement
Willingness and availability for occasional domestic travel. Occasional extended hours may be required during busy phases of projects.

Senior Administrative Assistant
Status: Full-Time
Location: New York, NY

Position Summary
Working closely with advisors and other staff members as needed, the Senior Administrative Assistant will report to the Director of Foundation Services. The Foundation Services division is composed of five professionals who advise individual and institutional clients on grants programs and philanthropic strategies. The assistant will have the responsibility of performing administrative duties related to philanthropic services for clients; processing and managing approved grant recommendations for payment; maintaining records and grant files; overseeing reimbursement requests; conducting research, and assisting in communications with clients, other related philanthropic institutions, foundations and nonprofit organizations.

Responsibilities

  • Provide administrative support primarily for the Director, and other team members when appropriate, including managing calendars, travel arrangements, and conference registrations.
  • Coordinate the grantmaking process for clients, including preparing and tracking correspondence, proposals, grant documents, agreements and payments.
  • Coordinate planning and preparation of meetings, including meeting materials, as needed.
  • Draft, edit, and produce reports and other documents, and correspondence for signature.
  • Research and compile data for presentations and client reports.
  • Assist in the development and production of philanthropic reports for clients.
  • Organize and maintain client and proposal files and assist in keeping central files current.
  • Provide support to the Proposal Development and Client Assignment Task Force, including agenda setting and meeting minutes.
  • Assist other staff members on an ad hoc basis during peak seasons and perform other duties as required.
  • Work collaboratively across teams and advisors as needed.

Position Qualifications
Education
BA/BS or equivalent experience

Experience
3-5 years of related experience.

Skills/Knowledge
Strong interpersonal, communication, and organizational skills required. Attention to detail, accuracy, and consistency in executing tasks for internal as well as external audiences is vital. Ability to take ownership of administrative tasks and problem solve is critical. Proficiency in Microsoft Suite required. Grammar, writing, proofreading, and editing ability, required. Familiarity with Raiser’s Edge or other database software strongly preferred. Familiarity with the nonprofit sector a plus.
